Pin a File or Folder in a SharePoint Document Library

In a modern office setting, a focused individual types at a computer, surrounded by multiple monitors, exemplifying collaboration tools like pinning files in a SharePoint document library.

Once you’ve been using SharePoint document libraries for a while, you’re likely to end up with lots of documents and folders. This is fine, but sometimes you need to have quick access to a specific document. Wouldn’t it be nice if you could get your hands on that file easily, without needing to scroll endlessly or having to use the search function every time.

Well, there is a way, and it doesn’t just work in SharePoint, it’s also available in Teams, OneDrive, Word, Excel, PowerPoint etc. It’s a great feature, and one that I personally think is underutilised. This is the Pin to top feature. It’s just like a bookmark for your favourite documents and folders.

How to Pin Files in a SharePoint Document Library

In a SharePoint Document Library, a user selects "Pin to top" from the dropdown menu to prioritize the "Contract.docx" file for easy access.
  1. In a SharePoint document library, right click on a file or folder, then from the drop down list, click Pin to top.
  2. You will now see the file or folder pinned on top of all other files in the library.

  3. If you need to change or remove the pin, right click on the file or folder, then from the drop down list, select Edit pin.
  4. From here, you can reorder the pins or unpin.

Note
: Unpinning a document or folder does not delete it. The document will still be in your library.
