Creating Announcements in Teams

In a modern office setting, a person with dreadlocks focuses on taking notes while engaging in a Teams meeting displayed on her monitor.

With the exponential increase in the use of Microsoft Teams over the past few years, it’s very easy for your message to get lost in the constant spool of information. Sometimes you need to make sure that your message stands out from the crowd. If that applies to you, then Announcements may be the feature you’re looking for.

When you create an Announcement in Teams, you are drawing attention to your posts, ensuring that your team doesn’t miss important information.

How to Create an Announcement in Teams

Start by going to the Teams channel where you want to create an announcement.

Click Start a Post at the bottom of the Teams window.

The Microsoft Teams interface displays the "Website" team's posts tab, showing error messages for announcements and a "Start a post" option below.

By default, your messages appear in the form of a standard post.

In the compose box, click on the Post type button, then select Announcement.

In a Microsoft Teams interface, a user selects between a regular post and an announcement while drafting a message, emphasizing the importance of communication choice.

Your post is changed to an Announcement, with a coloured heading area and a placeholder for your subheading.

Adding Details to your Announcement

That’s looking better! Now it’s time to pop in a few relevant details. Use the formatting options as per regular posts. You can also change the background colour of the headline using the colour button at the bottom right.

At this stage, you can simply click on the Post button to send your missive, but there’s another option you might want to look at.

At the top right of the heading block, you’ll see a settings slider. Click this little guy to see some options to modify who can reply, and to enable posting to multiple channels.

If you select Multiple Channels, you now have a Plus symbol at the top left of the post. Click it to see a list of channels where you can post.

Conclusion

Well, I don’t know about you, but I reckon it’s handy to create an announcement in this way. Announcements are great when you need to make sure everyone is paying attention to your content. Just make sure you don’t overuse it though – there’s this story you might know about a boy who cried “Wolf”!

Note: Announcements are only available in channels, not in group or 1 on 1 chats.
