Office 365 is a cloud-based, subscription service from Microsoft. Unlike the traditional way of buying software, where you would purchase Microsoft Office with an up-front payment, Office 365 is purchased via a monthly subscription, with updates available for as long as your subscription continues.

The Microsoft Office suite of applications is downloaded to your computer or laptop, and online, browser-based versions of the applications are available. You also have access to OneDrive, Microsoft’s cloud storage facility.

There are several variants of the Office 365 suite, and the specific version you purchase should be based on your particular business requirements.

Microsoft Office 365 has an extensive range of features to help with the creation and maintenance of a large variety of business documents. The core suite of products includes:

  • Word
  • Excel
  • PowerPoint
  • Outlook
  • OneNote
  • OneDrive

Depending on the version your business has purchased, you may also have access to additional services such as Skype for Business, SharePoint, Microsoft Teams, and more.

Have you ever wondered why the Dummies books are so popular? Well, it’s probably because so many of us are self-taught, using Google to find out how to use a function, or we are shown how to use various tools by somebody else at work.

Although this can be useful, it also means we tend to spend a lot of time with trial and error, or we are just picking up somebody else’s bad habits. Trial and error, unfortunately, involves a lot of error, and the bad habits you pick up will probably be passed on to the next person, so soon they spread across the business, meaning entire teams end up working inefficiently.

At this point, you might head to the bookstore or do an online search to find an Office 365 for Dummies book to help with some of those tricky problems. That’s a step in the right direction, and we sometimes use reference manuals ourselves. The problem is that it still takes time to find the information you need.

You’ll receive a manual to take away at the end of the course, as well as exercise files so you can practice later, or just to jog your memory when you need.

We get this question a lot.  There seems to be a lot of uncertainty around “the cloud” and what it implies. The cloud simply refers to online storage. It means that your documents are stored online, instead of on the traditional file server in the back corner of your office.

The advantage of storing your content in the cloud is that it is then available to you anywhere, anytime provided you have an internet connection.

Many of the services you probably use every day are a part of the cloud—everything from web-based email to mobile banking and online photo storage.

For example, you might be in a location where you do not have your own laptop, but you can use another computer. You can log in to your Office 365 account, and use the online version of Excel to access the spreadsheet you need.

Once you are done you can log out of your account, and any changes you have made are automatically available when you get back to the office.

One of the best Office 365 features is among its simplest, and it’s called Tell Me. If you are looking for a specific tool in Word, Excel, or PowerPoint, you are usually taken to a Microsoft Support website telling you how to open and use that tool. If you aren’t using the same version as the one discussed in the directions, this can be a problem.

Tell Me resolves the problem by simply giving you a link that opens the tool you are looking for. Type in a few words and the list of tools begins to populate, allowing you to select what you are looking for and to keep on working.

Absolutely, there are several ways to share documents, and this functionality is baked right into the Office 365 applications.

You can go to the file tab and choose a sharing option from there. You can also share right from title bar at the top right of the screen in most applications.

Once you select either of these you will be presented with several options for sharing your documents. The ability to share documents right from within an application is one of the advantages of Office 365.

Not only can you share your documents, if you are using Microsoft Word, Excel or PowerPoint, you can collaborate and co-author documents in real time. Just make sure you save your document in SharePoint or OneDrive to get started.
