The software collects and organises your information, and making it available for searching as well as sharing with others and comes with the Microsoft Office suite.

What is OneNote?

OneNote is a powerful digital notebook application from Microsoft. It allows you to store information such as notes, websites, resources, and much more. Think of a loose-leaf binder to which you can add sections and pages, and arrange the binder to suit your needs. OneNote is organised in the same way, and it will sync across your devices so that you can start a note on your phone while getting your morning coffee, and continue it on your laptop back at the office.

Why would I use OneNote?

Do you take notes during meetings? Do you scribble notes on a paper notepad, or do you use sticky notes? Maybe you use both, with the occasional napkin thrown in when inspiration hits you at the café. If this is the case, you should probably be using OneNote. It can be used for many different tasks. Some significant features of OneNote are:

Should I buy a OneNote for Dummies book or attend a Training Course?

Have you ever wondered why the Dummies books are so popular? Well, mainly it’s because so many of us are self-taught, using Google to find out how to use a function, or we are shown how to use OneNote by a work mate. Although this can be helpful, it also means we spend a lot of time with trial and error, or we are just picking up somebody else’s bad habits. Trial and error, unfortunately involves a lot of error. The habits you pick up will probably be passed on to the next person, so pretty soon they spread across the business, meaning everyone is working inefficiently.

At this point, you might head to the bookstore or do an online search to find a OneNote for Dummies book to help with those tricky problems. That’s a step in the right direction, we use reference manuals ourselves. The problem is that it still takes time to find the information you need.

It really comes down to the specific topics you want to cover and the time you have.

Where is the Save button?

Great question! In OneNote, everything you create is saved automatically, so there is no save button. It’s a bit disconcerting at first, because we are all so conditioned to saving our work frequently, but you soon get used to it. In fact, it’s quite a welcome change.

Can I really handwrite my notes?

You bet! This is one of the really nice features of OneNote. If you use a tablet or touch screen device, such as a Microsoft Surface Pro, you can use the stylus to write notes and draw anywhere on the page. OneNote has a rich set of drawing tools, perfect for those ideas that are best conveyed with images. If you do decide to handwrite your notes, OneNote has a handy ink to text function. It can also perform OCR (Optical Character Recognition) so that later you can even search for text in images.

How can I find my stuff in OneNote?

Don’t worry, OneNote has excellent search capabilities. You can find any content you have created by opening the search box and typing a keyword.  OneNote will highlight anything that meets the search criteria on the current page, the current notebook, or from any of your notebooks. You can narrow down your search by adding more keywords.

Another way to manage your content is by adding tags. By tagging your content, you have another way finding it. For example, if you tag several items as “Discuss with Manager”, you can then use a find tags button to have OneNote display all those items grouped together.

Where do I start on a OneNote page?

OneNote is not a word processor, so there is no need to be neat and tidy. It’s more of a blank canvas, so you can just click anywhere on the page and start typing. Any content you add to OneNote is stored in a container, and it can be moved or copied wherever you like. And don’t forget, you never need to save anything because OneNote saves automatically.

If you want to rearrange your content later on, just drag it to where you want, or cut and paste if necessary. You can move or copy within a notebook, or to another notebook.

Can I link notes to my Outlook Meetings?

Absolutely. If you have Outlook and OneNote installed, you can use OneNote to manage, record, and log your meetings. Your notes can include the date, location, agenda, topic, and attendees.

To add meeting notes, just go to the Home tab and select Meeting Details. You’ll see a list of today’s meetings from your Outlook calendar. Select the Meeting and then add the details and they will be added to the current page in OneNote so you can begin taking notes straight away. You can also choose a meeting from another day if you want to look for another meeting date.

If an Off the Shelf solution is not quite what you are looking for, training courses can be tailored to the unique requirements of your team. Either way, we are on hand for advice about the best way to structure your customised training course.
